Position Description

Position: Production Coordinator

Type of employment: Full-Time; Permanent

Job Responsibilities

 

Coordination and Scheduling

  • Maintain an accurate estimate of production completion time by effectively managing completed production dates.
  • Coordinate and plan monthly resources according to department hours, workdays, and holidays.
  • Calculate estimated project durations based on the existing workload to ensure resource availability.
  • Maintain real-time updates of project schedules in response to modifications from sales or the project team.
  • Adjust schedules to account for early or late completion of fabrication, painting, electrical work, assembly, and shipping.
  • Ensure that supply-chain logistics are managed efficiently and effectively in each work unit.
  • Participate in meetings and provide reports as needed as a representative of the Production Manager. Coordinate with the safety and quality assurance departments.
  • Optimize workflow by working with the Production Manager to remove obstacles like missing information, additions, and changes.
  • Maintain an inventory of all materials and components that are necessary to complete production.
  • Maintain various reports on work progress, materials consumption, production rates, and other pertinent production information.

 

Production File Management

  • Generate detailed Work Orders for each project, including material specifications, cost breakdowns, and projected installation dates.
  • Obtain technical approval for project files and ensure that necessary signoffs are obtained.

 

Preparation

  • Prepare survey requests and review project files to ensure all essential details, such as artwork approved by the client, quotes, authorized shop drawings, and pricing, are included.
  • Create work orders based on the survey results, ensuring that production requirements are met as per approved shop drawings upon receiving the completed surveys.

 

 Safety

  • Strictly follow all safety protocols within the plant, including wearing safety glasses and operating all equipment safely.
  • Report any potentially unsafe conditions as soon as possible.
  • ·          Follow preventative maintenance procedures in accordance with manufacturer guidelines, troubleshoot malfunctions, and for repairs to ensure equipment is available when needed.

 

Troubleshooting

  • Assess production capacity and compile a capacity report for identifying periods of potential capacity limitations.
  • Verify all incoming orders for accuracy, including dimensions, installation requirements, supplies, costs, and other crucial details.
  • Identify missing information in project files and address gaps accordingly.

Education and Experience

  • Education in Business Administration, Project Management, Supply Chain Management, Civil Engineering or in a related field or experience in similar role.
  • Strong computer skills including effective working skills of Microsoft Word, Excel, Outlook.
  • Exceptional communication skills, including listening and persuading skills.
