Education: Secondary (high) school graduation certificate or equivalent experience

Experience: Minimum 1 to 2 years’ full-time experience in an administrative role, working in the early child care centre will be a plus.

Now we are seeking an experienced Administrative Assistant to join us for supporting the management team by performing a variety of administrative and clerical tasks.

Job Duties:

1. Administrative Support:
Schedule and confirm appointments for management and staff, maintaining organized calendars.
Open, sort, and distribute incoming mail and other materials.
Maintain organized filing systems, both physical and digital.
Prepare reports, correspondence, and other documentation as needed.

2. Event and Meeting Coordination:
Arrange and coordinate seminars, conferences, and meetings.
Prepare meeting agendas and record accurate minutes for distribution.
Organize logistics for events, including booking venues and managing supplies.

3. Daily Operations Management:
Plan, organize, and oversee daily office operations to ensure efficiency.
Direct and supervise support staff, ensuring tasks are completed accurately and on time.
Evaluate office procedures and suggest improvements to optimize workflows.

4. Policy and Procedure Implementation:
Assist in establishing and implementing administrative policies and procedures to support office efficiency.
Ensure all administrative activities comply with company policies and legal requirements.

5. HR Support and Coordination:
Support HR activities by coordinating training sessions and professional development programs.
Assist in maintaining employee records and updating HR databases.
Oversee the classification and rating of positions, ensuring accurate job descriptions.
Gather and analyze employee data to support HR planning and reporting.

6. Contract and Financial Records Management:
Keep accurate financial records and assist with bookkeeping tasks, including balancing accounts and preparing invoices.
Oversee payroll processing, ensuring accuracy and timeliness.

7. Customer Service and Communication:
Serve as the first point of contact for visitors and callers, providing excellent customer service.
Respond to inquiries and direct them to the appropriate departments or individuals.


Skills Requirements:

1. Ability to work in a fast-paced environment, meet tight deadlines, and handle pressure with poise.
2. Strong organizational and multitasking skills with keen attention to detail.
3. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
4. Professional demeanor and customer service orientation.
5. Strong leadership skills with the ability to supervise and support staff.
6. Familiarity with HR practices and payroll systems is an asset.
