Administrative Assistant- NEXWAY IMMIGRATION SERVICES

Location: 200 Webster Rd suite Unit 2C Kitchener, ONN2C 2E6

Workplace information: On site

Salary: 28.50 hourly / 30 to 35 hours per Week

Terms of employment: Permanent employment Full time

Start date: Starts as soon as possible

Job Requirements

Languages: English

Education: Secondary (high) school graduation certificate

Experience: 7 months to less than 1 year

On site: Work must be completed at the physical location. There is no option to work remotely.

Tasks

  • Greet visitors coming to the office and guide them to the appropriate department.
  • Create new cases, prepare invoices, update payments, and add notes in the CRM software to record updates on individual cases.
  • Answer non-immigration related queries and forward immigration related queries to concerned registered consultants.
  • Schedule consultant appointments, manage calendars, and book emergency appointments as required.
  • Open and distribute incoming mail and other packages to the appropriate person.
  • Prepare monthly reports of different types of retained, processed, and completed cases.
  • Record and prepare minutes of internal administrative meetings.
  • Coordinate with other staff members regarding office supplies and place orders accordingly.
  • Determine and establish office procedures and routines
  • Compile data, statistics and other information
  • Order office supplies and maintain inventory
  • Set up and maintain manual and computerized information filing systems
  • Type and proofread correspondence, forms and other documents
