  • or equivalent experience of more than 2 years. 

Experience

If you have worked in an immigration or law office before then we will accept minimum 6 months experience but if your experience is as Administrative Assistant outside Immigration or law office, then you will need minimum 2 years of experience which should include handling customer queries and good knowledge of microsoft office and adobe acrobat pro.

Role Description:

We are regulated immigration consultant located in Miississauga, Ontario and we are looking to hire an administrative assistant in our office. Your standard working hours will be 10am to 6pm EST Monday to Friday but since our clients resides in international time zones all of the world, you will also be required to respond to queries outside work hours using cellphone and emails. You will be properly compensated for any overtime you occur in or outside office while working on client inquries. 

Responsibilities

Tasks

  • Assisting with the preparation and filing of immigration applications, including temporary and permanent residency, work permits, study permits, and citizenship applications.
  • Conducting research on immigration laws, policies, and regulations to ensure compliance with the latest requirements and procedures.
  • Reviewing and organizing client documentation to ensure that all required forms and supporting materials are accurate and complete before submission.
  • Assist drafting correspondence, legal documents, and client communications related to immigration matters, including responses to government requests and follow-up inquiries.
  • Managing client files and maintaining accurate records of all client interactions, case status updates, and deadlines in compliance with privacy and confidentiality laws.
  • Assisting with the scheduling of consultations, interviews, and appointments for clients with the immigration consultant.
  • Liaising with government agencies, embassies, and immigration authorities to track application progress, resolve issues, and ensure timely processing of cases.
  • Responding to client inquiries, providing updates on the status of applications, and addressing any concerns or questions related to their immigration case.
  • Monitoring and managing case deadlines, including extensions, renewals, and appeals, ensuring that all submissions are made within the required timeframes.
  • Supporting the immigration consultant in conducting client intake assessments, gathering relevant information, and determining eligibility for immigration programs.
  • Complete tasks as receptionists, such as greeting clients, answer to phone and other electronic queries. 
  • Book appointments.
